GENERAL SUMMARY Provide professional, reliable, and dependable administrative assistance and support to City Management and the citizens of Mt.
Juliet.
Perform complex, detail-oriented, and time-sensitive tasks while maintaining a high level of confidentiality.
SUPERVISION General supervision is provided by the City Manager and the Deputy City Manager/City Recorder ESSENTIAL DUTIES AND RESPONSIBILITIES Adhere to the City of Mt.
Juliet's Personnel Policy and Procedure Manual.
Provide skilled, responsible, and confidential administrative support to the City Manager, Deputy City Manager, and other City management officials; present a professional appearance and attitude.
Able to work professionally with citizens, visitors to the city and co-workers.
Order supplies for City Manager, Human Resources, City Beautiful, and Codes Departments while adhering to departmental budget constraints and the City's purchasing policy.
Maintain a calendar of meetings and events for the City Manager and other management staff; plan and schedule business meetings and functions; notify management of meetings and conferences.
Prepare agendas, minutes, and public notices for a variety of boards and commissions (Alcoholic Beverage, Traffic Commission, Board of Commissioners Wilson County Development Board, Mt.
Juliet Industrial Development Board, etc.
); assist City Recorder in the writing of ordinances/resolutions.
Ensure all deadlines are met for legislative actions being presented to the Board of Commissioners.
Properly file ordinances, resolutions, and minutes (originals, copies, and electronic versions) for various boards/commissions; maintain all files and filing systems; prepare, maintain, and update pertinent records and reports; research and verify information as requested; purge files as appropriate.
Accurately prepare and distribute materials and correspondence both internally and externally.
Screen and direct calls and visitors as appropriate and in a professional manner; schedule travel arrangements, reservations, daily operations, or meetings as assigned.
Prepare bills for payment while adhering to proper accounting procedures and protocols.
Serve as Secretary to the Alcoholic Beverage Board; attend meetings, prepare agendas and related agenda packets; ensure permit holder compliance (renewals, proper updated information) related to On-Premises and Off-Premises Beer Permits, Package Liquor, Wine in Grocery Stores (WIGS) and Liquor by the Drink (LBD).
Accurately maintain folders and computer records.
Obtain State of Tennessee Certification as required for the position.
Able to stay late on occasion to complete deadlines on publishing of agendas, etc.
Able to cover for City Recorder at various meetings held after normal business hours.
Balancing of Liquor by the Drink, Beer permit and penalties general ledger accounts monthly.
Maintain, write checks, and balance the Wilson County Mt.
Juliet Development Board and Mt.
Juliet Industrial Development Board bank accounts.
ADDITIONAL DUTIES AND RESPONSIBILITIES Assist with and participate in computer software training as necessary.
Participate, as needed, in a variety of activities involving travel between various City facilities.
and to other related external business and government agencies.
Assist in the preparation and administration of the Annual Budget.
Maintain continuing education hours as required for the position.
Act as a Notary of the Public.
Occasional preparation of Receptions and or meals for various events.
(newly elected officials, and when outside events are held at City Hall) Perform other duties as assigned.
MINIMUM JOB REQUIREMENTS EDUCATION High School diploma (Associates Degree preferred) EXPERIENCE 3 to 5 years of progressive experience in an Executive Administrative Support position or Administrative Assistant position LICENSES AND CERTIFICATES Possession of a valid Tennessee driver's license in good standing Certified Municipal Clerk (CMC) designation to be obtained as required by the State of TN KNOWLEDGE AND SKILLS REQUIRED Organizational and managerial practices as applied to the analysis and evaluation of programs, policies, and operational needs.
Modern office procedures, methods, and equipment operation including fax machines, photo copiers, computers, and associated software/applications.
Communicate clearly and concisely both orally and in writing.
Business letter writing; report preparation and correspondence.
Policies, procedures, and work rules of record keeping.
Local ordinances as they apply to general inquiries from the public.
Transcribing various information.
ABILITIES REQUIRED Tactfully respond to requests and inquiries from the public and co-workers.
Multi-task while maintaining attention to both detail and confidentiality.
Establish and maintain effective working relationships with both internal and external customers.
Successfully pass required physical examination and drug screening.
