36 an hour 4 days ago 4 days ago 4 days ago GENERAL SUMMARY Perform a wide variety of administrative duties in support of the Planning and Zoning Department.
SUPERVISION General supervision is provided by the Director of Development Services and City Planner.
ESSENTIAL DUTIES AND RESPONSIBILITIES 1.
Adhere and comply with the City of Mt.
Juliet Personnel Policy and Procedure Manual.
2.
Staff the Planning and Zoning counter.
3.
Respond to general Planning and Zoning inquires.
4.
Route incoming calls and visitors to appropriate departments and staff.
5.
Assist in the recordation of Final Plats at the County Recorder's office.
6.
Check department mail and deposits daily.
7.
Maintain a variety of organized spreadsheets and logs for reference and record keeping purposes.
8.
Maintain the file system of department records, including applications, meeting minutes, plats and plans and approval conditions.
9.
Maintain order in the department file room where physical copies of various documents are kept, including planning supplies.
10.
Maintain an up-to-date record of continuing education hours for Board of Zoning Appeals, Planning Commission, and staff members.
11.
Assist planning staff with the distribution of various departmental communications.
12.
Act as coordinator for Temporary Events and Temporary Signage.
13.
Maintain Municode files.
14.
Maintain records of continuing education for Board of Zoning Appeals, Planning Commission, and staff.
15.
Receives monetary payment of department submittal filing fees and issues receipts.
16.
Assist in various research projects as needed.
17.
Coordinate/schedule and prepare for special meetings (i.
e.
Land Use Updates, Continuing Education, etc.
).
18.
Manage and maintain department staff calendars and schedules via Outlook and Teams.
19.
Create the yearly Board of Zoning Appeals and Planning Commission submission calendars.
OTHER DUTIES AND RESPONSIBILITIES 1.
Coordinate with various city departments and legal officials as needed.
2.
Provide administrative support to departmental staff in the completion of their duties and responsibilities.
3.
Perform other duties as assigned.
MINIMUM JOB REQUIREMENTS EDUCATION High school diploma or equivalent EXPERIENCE Minimum of two (2) years' experience in an administrative assistant role with an increasing level of responsibility LICENSES AND CERTIFICATES Possession of a valid Tennessee driver's license KNOWLEDGE, SKILLS AND ABILITIES KNOWLEDGE OF:
Excel, Microsoft, Word, and general computer knowledge SKILL IN:
Operating and properly utilizing a variety of office equipment including computers and associated software applications Organization Excellent customer service ABILITY TO:
Handle multiple tasks and work under pressure Communicate clearly and concisely, both orally and in writing Organize files and records.
Maintain highly detailed records for retrieval Establish and maintain effective working relationships with those contacted in the course of the work Pass medical physical examination and drug test Meet the City's driving standards PHYSICAL REQUIREMENTS/WORK ENVIRONMENT Maintain effective audio-visual discrimination and perception needed for:
